Position Summary

The Asset Administrator is responsible for managing the lifecycle of IT assets, including hardware, software, and licenses. This role

involves tracking, maintaining, and ensuring the proper allocation and disposal of IT assets in accordance with company policies and

industry standards. The IT Asset Administrator will work closely with IT teams to ensure assets are properly accounted for, optimized

for performance, and compliant with internal and external regulations.

Responsibilities

  • Asset Management: Oversee the entire lifecycle of IT assets, including procurement, tracking, maintenance, and disposal of

hardware, software, and related technology resources.

  • Inventory Tracking: Maintain an up-to-date inventory of all IT assets, ensuring proper documentation and tagging of each

asset. Use asset management software to track and report asset status, location, and condition.

  • Software Licensing: Manage and monitor software licenses to ensure compliance with licensing agreements and avoid

potential risks or penalties due to unauthorized usage.

  • Procurement Support: Assist in the procurement process for new IT assets by coordinating with vendors, reviewing quotes,

processing purchase orders, and ensuring timely delivery.

  • Configuration & Deployment: Collaborate with IT teams to configure, deploy, and maintain IT assets, ensuring they are set

up according to company standards and policies.

  • Asset Audits & Reporting: Conduct regular audits of IT assets to verify their accuracy, condition, and compliance. Generate

reports for management on asset status, lifecycle, and financial tracking.

  • Asset Disposal & Recycling: Coordinate the proper disposal or recycling of outdated, broken, or retired IT equipment,

ensuring compliance with environmental and security regulations.

  • Asset Lifecycle Management: Work with the IT department to evaluate the condition of assets and recommend upgrades,

replacements, or repairs when necessary.

  • Policy Compliance: Ensure adherence to company policies and best practices for asset management, including data

protection, security protocols, and regulatory compliance.

  • Cost Control & Budgeting: Assist in budgeting and cost management related to IT assets, including cost-benefit analysis for

asset replacements or upgrades.

Other duties as assigned.

Qualifications

  • Bachelor’s degree in Information Technology, Business Administration, or a related field (or equivalent experience).
  • Proven experience in IT asset management, including familiarity with asset tracking software and procurement

processes.

  • Strong knowledge of hardware, software, and IT asset lifecycle management best practices.
  • Detail-oriented with excellent organizational and inventory management skills.
  • Strong communication skills for collaboration with internal teams and external vendors.
  • Ability to troubleshoot basic hardware and software issues.
  • Experience with IT compliance standards and regulations, including software licensing requirements.
  • Proficiency in Microsoft Office Suite and IT asset management software (e.g., ServiceNow, Freshservice, or similar

tools).

Physical Requirements

  • Prolonged periods sitting at a desk and working on the computer.
  • Occasional walking between facilities
  • Occasional liftin pushing, pulling up to 15 lbs.
  • Hybrid position – in office and remote workdays.
