This role entails not only management of the branch’s existing rental operations but also promotion of rental sales growth. Operational responsibilities include managing inventory, updating and maintaining internal systems, and coordinating service or freight, etc. Sales responsibilities include proactive prospecting and customer engagement, interfacing and collaborating with the sales team to promote growth, monitoring rental revenue progress in comparison with established goals, etc. The Rental Manager must demonstrate strong attention to detail and organizational skills, while also demonstrating a capacity to connect his or her work with bigger picture sales strategy and engagement.
JOB RESPONSIBILITIES
Customer Service
o Customer service and relationship-building is key to the success and growth of our rental department. The Rental Manager will develop existing partnerships and foster new rental business relationships. This individual must have an attitude that the customer is of utmost importance and we do what we reasonably can to satisfy the customer’s needs.
o Receive and respond to all rental equipment inquiries for designated location(s), quoting rates, providing delivery, etc. ensuring that every call or email is handled with superior customer service in alignment with our company’s Vision, Mission, and Values. This may include responding to an after-hours call occasionally.
Rental Administration
o Source rental equipment demands (external and internal customer) from existing fleet and when not available source from outside vendors.
o Create rental contracts in the system, manage rental contract pricing (discounts and proper billing rates) and ensure rental contract information and paperwork is accurate.
o Communicate the movement (delivery & return) of rental equipment with designated branch contact.
o Ensure that rental contracts are complete including signed and filed appropriately upon receiving paperwork back from delivery/pickup.
o Coordinate all incoming and outgoing rental transportation (independently or through assigned resources) and ensure deliveries are made on time.
o Contact the customer after delivery to ensure equipment is satisfactory and on time delivery was met.
o On return of equipment, do a walk around (or have the assigned branch contact do so) to confirm meter reading, damages/misuse, and return of propane for equipment.
o Coordinate with designated person(s) all check-ins (returns) within 24 hours from return of equipment to make sure equipment has no damage or misuse and is made rent ready for next rental.
- In the event a unit is returned with damage or misuse, work with the customer to conclude and coordinate invoice of repairs.
o Close out and final invoice of rental contract at end of rental.
o Oversee the freight and re-rent expense invoices from vendors.
o Schedule and coordinate inter-branch rental transfers through designated person.
o Report any lost orders (including re-rents).
Fleet Management
o Oversee, understand, and manage the fleet in your designated area daily.
o Manage the equipment maintenance, repair process, and costs including:
- Communicate with customer on misuse, abuse, and overtime issues.
- Assure all misuse, abuse, and overtime is being billed to customer.
- Coordinate any repairs needed with service department.
o Watch over rental work orders daily and look for re-work and correct equipment number/customer number and labor rates.
o Monitor equipment warranties and warranty expirations and take appropriate action in advance of warranty expiration.
o Work with asset management team on larger repair cost approval.
o Utilize the Fleet App to manage PMs, schedule weekly with the service department, and maintain a 90% PM completion rate.
Rental Fleet Equipment Management
o Know and take ownership of the fleet to ensure condition of equipment is acceptable.
o Keep inventory organized and accurate.
o Make recommendations to asset management team for removal/replacement for rental fleet.
o Manage other equipment, battery and chargers, attachments, forks, etc.
Sales Orientation
o Promote rental sales growth, monitor progress to achieve the identified goals and expectations.
o Optimize customer relations through effective reactive responses and proactive touchpoints.
o Establish new rental accounts through proactive engagement.
o Increase services rendered to existing accounts.
o Provide existing accounts with information on other products and services offered by MH Equipment, including other specialty product lines.
o Identify target prospects and create/implement strategic action plans to develop the accounts as Customers.
o Follow-up on all Customer leads from external and internal sources.
o Maintain Customer information files and notes in accordance with company policy, procedures and requirements with periodic review with management.
o Initiate, maintain, manage and process quotes and orders in accordance with company policy, procedures, and requirements.
o Resolve any customer issues, problems, or complaints to satisfy the customer.
o Support account terms and assist in account collection if required.
o Attend and participate in all sales or company meetings.
o Participate in company sponsored training sessions for enhancing skills and technical knowledge.
Other
o Other administrative items to be determined or assigned based on workload.
- Reconciliation of re-rent and freight supplier invoices.
- Other rental administration and support duties.
o Present a professional image in personal appearance, dress and preparation.

- Valid driver’s license.
WORKING CONDITIONS: Hours will be 7:30 a.m. – 4:00 p.m., Monday through Friday plus whatever time is required to accomplish the goals of the position. This is a salaried, exempt position.
